Integrating HubSpot with Gallabox streamlines your customer communication and ensures that all client interactions are captured in one place. With this setup, your sales, marketing, and support teams can collaborate more effectively, leading to increased productivity and improved customer satisfaction.
HubSpot Integration Step-by Step Guide
Go to Integrations in the left navigation of your Gallabox account. Hover on HubSpot Integration and click on Connect. The Integration page will open up. Click on Connect and provide a name. Click on Submit and you will be redirected to authorize the Hubspot account.

Authorize your Hubspot account. Choose the Hubspot account and it will be connected to your Gallabox account.

Sync Gallabox Contacts to Hubspot
When someone starts a conversation, Gallabox can automatically create a new contact in HubSpot — if one doesn’t already exist. Simply toggle the switch ON to enable this. Click on 'Update Configuration' once done.

Update Conversation History in Hubspot
We have made it easier for you to track WhatsApp conversations inside HubSpot. Now, when you enable the "Log Resolved Conversations" toggle in Gallabox:
Every time you resolve a WhatsApp conversation in Gallabox, it will automatically be logged as a note under the associated contact in HubSpot.
If a conversation is reopened, only the new messages (after the last sync) will be logged as a new separate note.
If the toggle is disabled, conversation logs won’t be sent to HubSpot.
If a contact doesn’t exist in HubSpot, the conversation log won’t be created.
Click on 'Update Configuration' once done.

Incoming Message Configurations
The Incoming Message Notifications feature is available exclusively for Enterprise plan users. If you're on a different plan, this feature won’t be accessible. To receive notifications in HubSpot whenever a customer replies to your messages, follow the below steps:
Toggle the switch On in the Hubspot Integration Page go to Automation from left navigation of Hubspot and select Workflows. Select the Channel you for which you want the message notifications for.

Click Create Workflow and choose Start from Scratch. Select “Contact-based” as the workflow type.

Set the trigger as “When a webhook is received.” Add a Webhook event, give it a name, and copy the generated URL and paste in the Gallabox Hubspot Integration page.

Click on 'Send Test Event'. You will receive the details in your Hubspot account. Review them and click on Next.

Map the variables to their correct datatypes. For example, the data type for Phone number and recordId would be Number and for the rest it would be text. Click on Next.

Choose the 'recordId' from the dropdown of Hubspot Property label and also for Third-party service dropdown.

Continue configuring the Trigger step. Under the Re-enrollment Tab for the Webhook created, toggle the switch On to allow contacts to re-enroll after completing the workflow. Save the Trigger.

Add another step in this workflow. Choose 'Communications; under the options, choose 'Send in-app notification'.

Configure the recipients (Choose the users, teams, and existing users for which you want the notifications turned on) and the notification Type. For the subject and body, choose the data variables
['subject']
and['body']
respectively. To do so, in the second drawer that opens up, choose the Gallabox Incoming message Trigger action and choose the data variable.

Click on 'Update Configuration' once done on the Hubspot Integration page in Gallabox.

Now you will be notified whenever you get any notification.
Hubspot Message Logs
A "Logs" tab will display information for each synced contact, including: Date when message was sent, Record ID in HubSpot, Mobile number, and the status of the the message.

WhatsApp Chat Window
Integrate Gallabox and Chat directly in your HubSpot CRM for smooth communication.
You can access the Chat Window for every contact created in your HubSpot CRM using the following steps:
Go to Contacts and choose the contact you would like to send message to.

Click on Show Sidebar. Scroll down the sidebar and you will see the button "Send WhatsApp Message" under WhatsApp Business Messaging.

Click on the button "Send WhatsApp Message" and a pop-up will open up. Enter your Gallabox's account details to login to Gallabox. Once you are logged in, click on Start Conversation.

Select the message template you want to share with your customer. Map the variables (if any). Click on send.

The WhatsApp Template will be shared with your customer.
